How to Configure Findings Management on Collateral Investigate™

Overview

Configuring Finding details and bulk actions allows you to customize the automated rules that govern your review process. By refining finding names, descriptions, and severity levels, you ensure that reviewers receive precise guidance and that critical report errors are prioritized correctly. Mastering these settings enables you to maintain a high standard of data integrity, reduce manual correction time through Auto Fails, and accelerate the review cycle using bulk decisioning tools.


Define the Findings Management Settings

   

Findings are the rules triggered by specific review and report types. Use this section to define your scope and determine which rules apply to each order. Soon, Rule Groupings will allow you to apply predefined sets of rules directly to an individual Tier for more efficient management.

  1. Click the Settings icon in the right-hand corner of the toolbar to reveal the Settings menu.

  2. Select Findings Management from the menu.  

  3. Use the Search bar to find specific rules.

  4. Narrow the findings list by Filtering specific criteria such as Active status, Severity, Category, or Regulator.

  5. Select the checkboxes next to multiple Finding IDs to apply updates to several items simultaneously.

  6. Use the Edit / View buttons to modify or review the details of an individual finding.

  7. Click View Severity to open the severity rankings page to review detailed definitions for each level.

    View Severity Definitions

    Each severity level affects how reviewers and service providers address the findings. Refer to the table below for detailed information.

    • Auto Fails: Findings that trigger an automatic return require the Service Provider to make corrections before the formal review begins. When these findings are identified upon receipt, the order will not proceed to Investigate until resolved.

    • Bulk Decision Findings: Accept or dismiss multiple findings simultaneously to streamline the review process.

    • Bulk Comments: Apply a single, standardized comment to all selected findings at once.

  8. Click View Findings Log to access the log and view all findings currently populated by completed reviews.

Bulk Findings Management

   

  1. Use the checkboxes to select multiple findings for simultaneous updates.

  2. Click Change Severity to update all selected findings to a specific Severity level: Severe (Fatal), High, Medium, or Low.

    1. Select the new severity from the drop-down menu, and then click Change Severity.

  3. Click Activate Findings to enable the selected findings to trigger during applicable reviews.

    1. To confirm the activation, click Activate Finding.

  4. Click Deactivate Findings to disable all selected findings to prevent them from triggering during reviews.

    1. To confirm the activation, click Deactivation Finding.

Edit Finding

   

  1. Locate the finding that requires modifications and click Edit.

  2. Update the Finding Name.

  3. Update the Short Description.

  4. Update the Severity level from the available options: Severe, High, Medium, or Low.

  5. Update the Finding Description, this is the rule guidance to clearly explain the specific report error to the reviewer.

  6. Use the Activate Finding toggle in the bottom-left corner to Activate or Deactivate the finding.

  7. Click Save Finding to finalize and implement your changes.

Configure Rule Builder Settings

   

  1. Click the Settings icon in the right-hand corner of the toolbar to reveal the Settings menu.

  2. Select Findings management from the menu.

  3. Click the Rule builder tab next to Tiers to open the Finding Rule Editor page.

  4. Set the toggle at the top of the Rule Details section to either Static or Dynamic depending on your rule requirements.

    1. Select Static if you want the rule to fire on every tier where it is active.

      b. Select Dynamic if you want the rule to trigger only when specific appraisal data falls outside the requirements you set in the Criteria builder section.

  5. Enter a unique identifier in the Rule Name field to represent your Rule ID, which is used together with the short description as the full rule name and helps you manage versioning.

  6. Enter context or notes in the Description field to help manage your scope, noting that this text is only visible within Findings management and will not show during a review.

  7. You can optionally select an Order Product Type to apply it to the various products available with UAD 3.6.

  8. Enter the instruction in the Message field to specify what content your reviewer should address while completing a file.

  9. Build your criteria logic in the Criteria Builder section if you have selected a Dynamic rule.

    Note: When building dynamic rules, the criteria you define represent the correct or expected state. The rule will trigger a finding only when the appraisal data does not meet the conditions you set.

  10. Select the logic operator from the dropdown in the first box of the group to define how multiple criteria lines are handled.

    1. Select All (AND) if every condition in the group must be met to trigger the rule.

    2. Select ANY (OR) if meeting any single condition in the group can trigger the rule.

    3. Select IMPLIES if you have exactly two conditions and want to define a conditional "if-then" relationship where the first statement guarantees the truth of the second.

    4. Select FOR EACH if you want to set specific XPaths, which are standardized queries used to select specific data or elements.

    Tip: You can consult Appendix G-1 on the GSE website (Uniform Appraisal Dataset | Fannie Mae) to navigate and compare legacy and updated UAD 3.6 data fields.

  11. Select the target data field by starting to enter text in the Field box to select from the available MISMO 3.6 fields.

  12. Select an operator from the Operator dropdown menu to compare your selected field. The available operators are reflective of the field type you selected.

  13. Select a value type from the Value Type dropdown menu, which becomes active when the operator requires a comparison value.

    1. Select Field if you are comparing the selected field to another appraisal field.

    2. Select Literal if you want to enter a specific static value.

  14. Enter or select the comparison value in the Value field, which can be an integer, word, phrase, percentage, or another appraisal field.

  15. Click + Criteria to add a line within the same group, or click + Group to create an additional section for advanced nested logic.

  16. Click the Save button in the bottom-right corner to save your custom rule and make it available for configuration.

  17. Click the All findings tab (if the rule applies across all tiers) or the Tiers tab (if the rule applies only to specific tiers) in the Findings management dashboard.

  18. Enter the name of your custom rule or its category in the search bar to locate the rule.

  19. Click the Edit button on the far right of the rule row to open the Edit finding modal.

  20. Select the desired severity from the Severity dropdown menu if you want to change the default Medium severity that applies to all custom rules.

  21. Click Activate Finding in the bottom-left corner of the modal to activate the rule

  22. Click Save Finding to apply and save your changes.


Outcome

After completing these steps, you will have established a fully customized ruleset that automates the detection and prioritization of report errors. You will be able to manage findings at scale using bulk tools and enforce quality standards through Auto Fails, effectively shifting your workflow from manual rule oversight to a streamlined, exception-based review process.
