Overview

This article introduces the Users tab in Appraisal Scope and explains how AMC administrators manage relationships with client companies, client users, vendor companies, and vendor users. It outlines the primary pages available within the Users tab and summarizes how related settings influence ordering workflows, fee schedules, and appraiser access across the platform.

Introduction to the Users tab

The Users tab contains a set of pages that allows AMCs to manage the relationships they have with their client companies. To access these pages from the landing page, an admin user will click the Users tab. This will take the user to the Client page.

The Users tab submenu is located at the top of this first page, and it consists of Client, Appraiser, AMC (see Note below), Directory, ASC, Disabled, Panels, Pending Users, and License Tracking selections.  Each of these options and the functionality available within them is documented in the Users tab controls section on the next page.

Note: AMC to AMC configuration can be set up by contacting Appraisal Scope Support.

Overview: managing users from the Users tab

AMCs can control how they conduct business with client companies, client users, vendor companies, and vendor users within their platform-version of Appraisal Scope from the Users tab. Many options that affect the user experience a lender has when placing orders on an AMC’s platform are accessible from the Users pages.

AMCs can manage how orders are placed from the Users tab, and they can configure the order forms that client users interact with. Options available can be applied to individual client companies and client users. The choices that are made here can reflect the preferences of the AMC or the lender that this AMC works with.

AMCs can apply a variety of fee schedules, as well, to the different client companies they’re associated with from the Users tab. They can also create or import, and then apply Do Not Use and Approved lists of appraisers to different client companies, creating a pool of appraisers available to accept jobs based on a lender’s preferences.

AMCs can search here for vendor users that have registered in their platform-version and manage these relationships with several available options.  They also have options to search the Appraisal Scope directory of appraisers and ASC database from the Users tab.

The Appraisal Scope directory of appraisers is a list of all appraisers who have ever registered on an Appraisal Scope platform, and the ASC database is an up-to-date list of all registered appraisers in the United States who are in good standing. AMCs can invite appraisers from either the Appraisal Scope directory or the ASC database to register with them on their Appraisal Scope platform-version.

The Users tab is also where AMCs can see a list of appraisers who have been disabled in their platform. AMCs will have the option to export, in Excel format, a list of these appraisers.

And finally, as mentioned earlier in this User Guide, new client and vendor users who sign up on an AMC’s platform-version will remain in a Pending status until an admin user can verify the registration. Pending client users or vendor users to be reviewed are also accessed from the Users tab.

Client tab search functionality

Staff users can access client company and/or client user profiles by using the Search section on the left side of the Client page. When a staff user clicks Search, search results will appear singly or in a list beneath the Search section. If a staff user wants a list of all client companies in their platform-version, they can click Search without adding any filtering criteria.

To limit the length of the list returned, staff users can choose an account type from the Account Type drop-down list and/or select the geographic details from the Country or State drop-down lists. If a staff user wants to access a list of client users that fall under a particular client company, they will type the company’s name in the Company box. If the client company is broken into branches, the staff user can further refine the search results by clicking the Branch box and selecting the appropriate branch. Individual client users can be singled out by staff users using the Search By Name or Email boxes.

Interacting with search results

When a staff user clicks on a client company from a list of search results, the client company profile will open to the Details page. The Client Company Profile menu and submenu will now be accessible. The tabs in the Client Company Profile menu and submenu allow staff users to control several aspects of a client company’s setup within their platform-version. Details of the options available under each tab are covered in the Client company profile section.

Individual client user profiles can also be accessed from the search results. Staff users may notice a blue Plus icon to the left of a number in the first column of the search results list. Clicking on the Plus opens a box with the names and user statuses of all client users affiliated with the selected client company’s profile. This box will show light-green when it’s hovered over, and staff users will need to point to the client user name they wish to select. Clicking the client user name will open the corresponding client user profile to the Details page. The Client User Profile menu and submenu will now be accessible.

The tabs in the Client User Profile menu and submenu allow staff users to control several aspects of a client user’s setup within their platform-version. Details of the options available under each tab are covered in the Client user profile section.

An alternative method of accessing a client user profile is to use the Search by Name and/or Email boxes in the Search section of the Client page. An entry or list of entries corresponding to the name or email criteria appear below the Search section. When the admin user clicks on the relevant entry, the client user profile will open and provide access to the Client User Profile menu and submenu.

Introduction to default user templates

Default user templates for adding new client company and/or client users are available on each Appraisal Scope platform-version. These templates can reduce the time it takes to add new users in a platform-version. The templates are pre-loaded in Appraisal Scope and can be configured to meet an AMC’s particular requirements. There are templates for all client company account types and client user types (Figure 5.1) that an AMC might host on their platform-version, and once configured, they’ll be available for selection when a staff user is adding a new client company or client user.

Figure 5.1. Client company account types and client user types for which corresponding default templates are available.

Account Types

Client User Types

  • Attorney

  • Bank

  • Commercial

  • Correspondent Lender

  • Credit Union

  • Home Owner

  • Lender

  • Mortgage Broker

  • NDC

  • Private Money Lender

  • Real Estate Agent

  • Retail

  • Wholesale Lender

  • Other

Note: Default user templates are tied in with the Account Type selection on the Add New Company page (or User Type selection if it’s a client user being added), accessible by clicking New Company at the top of the Search section of the Client page. The Account Type selected will determine which default user template Appraisal Scope makes use of.

  • Loan Officer

  • Manager

  • Processor

The templates will be visible in any list of client company search results. For instance, if a staff user wants a list of all client company users in their platform-version that are of account type Bank, they would click the Account Type box and select Bank from the list. The search results returned would include an entry for Default Template: Bank. The same would be true for each list of search results that returns a particular client company user type. To see all default templates available for configuration in the same list, a staff user can just click Search without using any search criteria.

Staff users may also note the presence of the Plus icon to the far left of each default template entry in a list. When a staff user clicks the Plus, the client user types Loan Officer, Manager, and Processor will appear in a drop-down list beneath the default template entry. This allows a user to configure default templates for any or all client user types that fall under a particular client company account type.

Note: It may be helpful to understand the relationship between the client company and client user profiles in a platform-version, and the tasks of adding client companies and client users to a platform-version, before getting into further details about default user templates. For detailed information about profiles in Appraisal Scope and how they function relative to client companies and client users, see the User profiles, Client Company Profile menu and submenu, and Client User Profile menu and submenu sections.

Configuring default user templates

Client company user

To configure a client company default user template, a staff user will click the Default Template entry associated with the client company account type they want to configure. This will give staff users access to the template for configuration, along with a selection of tabs that correspond to some of the tabs found in the Client Company Profile menu.

The template will open to the Details page. Staff users will use the Template menu to access each component of the profile that they want to have pre-configured and available. Each tab in the Template menu, along with the tools and settings configurable from them, is covered in detail in the Client company profile section.

Not all information that is required when adding a client company will be provided by the template, but information and settings that can usefully be standardized across client companies are. If a staff user applies a template when adding a client company, any settings or information that haven’t been configured or added in the template can be input when creating the client company profile.

Client user

To configure the client user default user templates under a client company template, a staff user will click the Plus associated with the relevant template entry. This box will show light-green when it’s hovered over, and staff users will need to point to the client user type they wish to select. Clicking the client user type will open the template for that type to the Details page.

Not all information that is required when adding a client user will be provided by the template, but information and settings relative to client users that can usefully be standardized are. If a staff user uses a template when adding a client user, any settings or information that haven’t been configured or added in the template can be inputted when they’re configuring the client company profile that they’re adding.

Applying default user templates

The procedures for adding a new client company and client user are covered in the Adding a new client company from the Client tab and Adding client user in existing client company profile sections of this User Guide. To apply default user templates in either of these scenarios, a staff user will select the Use Default Template check box that will be visible on the page.

In the case of adding a new client company, the Account Type selection that a staff user chooses will dictate which template is applied. Staff users may note that each selection in the Account Type list on the Add New Company page has a corresponding default user template available to be configured and applied. Staff users should remember, however, that these pre-loaded templates need to be configured before they are used.

In the case of adding a client user to an existing client company, the User Type selection that a staff user picks will dictate which template is applied. Staff users may note that each selection in the User Type list on the Add Users page corresponds to one of the client user types that’s available to be configured as a template. Once again, however, these pre-loaded templates need to be configured before they are used.

Adding a new client company

There are two ways for client companies to be entered into a platform-version of Appraisal Scope. The first is for a member of the new client company staff to sign the company up from the Client Sign Up tab on the Sign In page (see Approving a new client company for more details).

The second way is for an admin user to add a client company from the Client tab.

Adding a new client company from the Client tab

  1. Click New Company, just above and to the right of the Search fields.

  2. Enter all available client company information under the Company Information section (see Note following instructions). Keep in mind that the red asterisks indicate fields where information is required.

  3. Under the User Information section, enter the personal details of a staff member associated with the new client company.

  4. In the Password field, make sure that the password you’re issuing is at least eight characters and that it includes at least one upper case letter, one lower case letter, and one number or symbol.

  5. For User Type, click on the drop-down list and click Processor, Manager, or Loan Officer.

  6. Click Sign Up.

Note: For details on branch information, see the Organizing client users by branch section.

Adding a new client user to an existing client company profile

There are three ways for client users to be added into a platform-version of Appraisal Scope under an existing client company profile.

  1. The first is for the new client user to sign up using the Client Sign Up tab on the Sign In page of an AMC’s Appraisal Scope platform-version (see the Approving a new client user section for more details).

  2. The second way is for a client user with client administrator permissions to add new client users from the Users tab of their Appraisal Scope client portal.

  3. The third way is for an admin user to add the client user from the Client tab on their platform-version.

Adding client user in existing client company profile

  1. Perform a search using the Search options to locate the client company with which the new client user will be affiliated.

  2. Click on the client company entry from the list of search results.

  3. Click the Add Users tab from the menu at the top of the page and fill in the personal details for the new client user, making sure that all text boxes with red asterisks are filled in.

  4. In the Password field, set a password of at least eight characters, including at least one upper case letter, one lower case letter, and one number or symbol.

  5. Select the Set as temporary check box if you’d like to allow the new client user to change the password you set here.

  6. For User Type, click on the Select User Type drop-down box and click Processor, Manager, or Loan Officer.

  7. The Branch drop-down list should remain at Default Branch unless the client company has been organized by branch, in which case the branch with which the new client user will be affiliated should be clicked from the list.

  8. Select the Notify User check box just above the Add User button if you want Appraisal Scope to send the new user an email with their login credentials.

  9. Click Add User.

Outcome

Upon completion of this article, administrators will be able to navigate the Users tab and identify the appropriate pages for managing client, appraiser, and directory-related records. Administrators will also understand where to apply key configuration options that affect client ordering behavior, fee schedules, and appraiser eligibility within their Appraisal Scope platform.
