How to Use the Staff Tab in Appraisal Scope®

Overview

This overview explains what the Staff tab in Appraisal Scope® is used for and how AMC administrators access the Staff, Groups, Admin Rule Profiles, Reviewer Rule Profiles, and Super Admin pages. It provides a high-level understanding of where to create staff profiles, assign permissions and rule profiles, and manage staff-related configurations.

Staff tab

The Staff tab contains a set of pages that allows AMCs to manage members of their staff. AMC staff users with administrative responsibilities will set up staff profiles here for all of the staff users on an AMC’s platform-version. A user will click the Staff tab from the main tab menu to access these pages.

When a staff user clicks the Staff tab, the Staff tab menu will display. This menu consists of the Staff, Groups, Admin Rule Profiles, Reviewer Rule Profiles, and Super Admin buttons, as well as Failure Order buttons for any integrations that a platform-version has set up. Each of these menu items opens into a separate page, and the functionality available from each page is documented in this chapter.

Staff page

When an AMC staff user clicks on the Staff tab, they will land on the Staff page. From here, users can create and configure new staff profiles, and they can manage permissions and rule profiles they want to assign to staff users through these staff profiles. AMCs are also able to set staff users with limited permissions or super-admin user permission from the Staff page.

Staff users can also make modifications to personal information associated with staff profiles from the Staff page. Common tasks related to staff profiles and the procedures corresponding to these tasks are covered in the following sections.

Note: Staff profiles do not necessarily need to correspond to an individual staff user. These profiles are essentially an organizational tool to which AMCs can apply settings. For instance, if an AMC wants to use Appraisal Scope to assign certain tasks to all staff users whose roles naturally overlap, such as all loan processors for example, then creating a staff profile for this role, configuring the profile accordingly, creating an Admin Rule Profile that is configured to reflect the AMCs vision for that role, and assigning the Admin Rule Profile to the staff profile would be one way an AMC can use the staff profile to manage their staff. The specific procedures and concepts around how staff profiles and other Appraisal Scope tools interact will be detailed in the following sections.

Creating a new staff profile

Required permission

AMC staff users with Set Admin permission can create new staff profiles. To provide a staff user with this permission, click the Staff tab, locate the staff profile to modify from the Staff Profile list, and click the blue hyperlink text Tab in the Tabs column of the Staff Profile list.

Introduction

Staff profiles once created will be incorporated into the Staff Profile list on the Staff page. All staff profiles kept in an AMC’s platform-version will be accessible from this list.

Procedures

  1. From the landing page, click the Staff tab on the main tab menu to open the Staff page.

  2. Next, click Create New Admin and enter all requested details in the text boxes of the Create Admin dialog box.

  3. When you assign the password, make sure it’s a minimum of eight characters and consists of at least one uppercase letter, one lowercase letter, and one number or symbol.

  4. After all information has been entered, click Create.

Configuring staff profiles

Staff profiles are accessible from the Staff Profile list on the Staff page. Each profile appears as a separate entry in the Staff Profile list. Staff users can make edits to the name, username, password, or email address associated with any staff profile by clicking the Pencil icon in the informational field to be edited.

Beyond these simple edits, staff users can perform several types of configurations in the system. These configurations will be covered in the following procedures.

Configuring staff profiles for AMC sales people

A staff user will configure an AMC sales person’s staff profile from the Staff Profile list. The procedures for configuring a sales person’s staff profile follow.

Assigning client companies to AMC sales people and disassociating client companies from AMC sales people through the staff profile

  1. From the landing page, click the Staff tab on the main tab menu to open the Staff page.

  2. Locate the entry that you want to modify in the Staff Profile list, and click the check box in the Sales Person field.

  3. The setting control Assignment will appear next to the check box.

  4. Click Assignment, and then click Show Add or Remove companies.

  5. Two columns will open on the page: the left column is a menu of client companies, and the right column is a list of client companies to which a sales person is currently assigned.

  6. If you want to add companies to a sales person’s assignments, scroll in the left column menu or use the Search Client(s) text field to find the client companies you want to add, click the company name and then the Right Arrow for each company, and when the right column is populated with all relevant entries, click Add or Remove companies.

  7. Assigning a client company to a sales person in this way will add the companies to the Commission Configuration list associated with this sales person’s staff profile.

  8. To remove a company from a sales person’s assignments, click the client company in the right column, click the Left Arrow, and then click Add or Remove companies.

  9. Disassociating a client company from a sales person in this way will remove a company from the Commission Configuration list associated with this sales person’s staff profile.

Setting sales commissions through the staff profile

An AMC staff user will set commissions and commission calculation criteria from the Commission Configuration list that’s associated with a staff profile. Users can set commissions, adjust how commissions will be calculated, and set the fees to apply at the branch or broker level from this list. Procedures for how to perform these configurations follow.

Setting AMC sales person commissions

  1. From the platform landing page, click the Staff tab on the main tab menu to open the Staff page.

  2. Locate the entry that you want to modify in the Staff Profile list, and click Assignment in the Sales Person field.

  3. The Commission Configuration list will appear.

  4. Be sure that the check boxes coinciding with the client companies you want to set or adjust commissions for are selected in this Commission Configuration list, and that the other check boxes are clear.

  5. Next, to set new commissions, click Set Commissions For Selected, located above the list, and the Set Commissions For All Selected Company Branches dialog box will open.

  6. Commissions are assigned by jobtype in this dialog box, so choose from the Jobtype List, click the corresponding Commission Type drop-down list, and choose Flat Fee or Percentage.

  7. Enter the flat fee amount or percentage into the corresponding Commission text field, and when you’re finished setting these commissions, click Apply to All.

Configure Appraisal Scope to re-calculate sales person commissions

  1. From the Commission Configuration list, you can have Appraisal Scope re-calculate commissions in one of two ways.

  2. To do a bulk re-calculation, select the check boxes coinciding with the client companies you want to re-calculate commissions for and clear the others, then click Re-calculate Commissions For Selected from above the list.

  3. Alternatively, find the specific client company in the Commission Configuration list for whom the commission needs to be re-calculated, and click Re-calculate commissions in the right column of the list.

  4. When the Re-Calculate Commission dialog box opens, click in the From (Ordered Date) text box.

  5. In the calendar that appears, find the starting date of the period for which commissions need to be recalculated by clicking on the left or right arrows to locate the appropriate month, then click the start date.

  6. To set the end date of the period for which commissions need to be recalculated, click in the To (Ordered Date) text box and choose the appropriate date the same way as in step 5.

  7. Once the date range has been established, choose the commission to recalculate by clicking the check box that corresponds to the relevant Jobtype, click the corresponding Commission Type drop-down box, and choose whether the re-calculated commission will be a Flat Fee or Percentage.

  8. Enter the flat fee amount or percentage into the corresponding Commission text field, and after you’re finished, click Save.

Setting AMC sales person commissions to assign by branch or by broker

  1. For cases where commissions need to be set or re-calculated at a client branch or broker level rather than the client company level for a particular client, locate the company, click Set Fees By Branch or Set Fees By Broker in the field associated with that company, and then choose the branch or broker by selecting or clearing the appropriate check boxes from the list that appears.

  2. When the appropriate branch or broker has been selected, click the Set Commission or Re-calculate commissions field associated with that branch or broker, and when the corresponding dialog box appears, configure your platform-version to calculate the commission using the same procedures established above for setting or re-calculating commissions.

  3. If you want to close the Branch or Broker list that you’ve opened under a client company entry, click Close Branch List or Close Broker List in the Set Fees by Branch or Set Fees By Broker field of the client company entry.

Configuring staff profiles for AMC staff reviewers and assigning Reviewer Rule Profiles

An AMC staff user can configure the staff profile of an AMC staff reviewer from the Staff Profile list. To configure a reviewer’s staff profile, a user will locate the entry in the Staff Profile list and select the check box corresponding to that entry from the Reviewer column. The user will then click the drop-down box and choose whether to assign this reviewer a  rule profile from the list of Reviewer Rule Profiles that appear, or whether to leave the staff profile configured as Manual (see the Reviewer Rule Profiles page section for details on these rule profiles).

Note: Staff reviewers configured for manual assignment can be assigned (or can assign themselves) as the Reviewer on a given order, whereas staff reviewers assigned to a specific Reviewer Rule Profile will be automatically assigned as Reviewer on an order based on the parameters of that Reviewer Rule Profile.

Outcome

After these steps, you will be able to access the Staff tab and complete common administrative tasks such as creating staff profiles and updating key profile details. You will also be able to assign the appropriate permissions and rule profiles so staff users have the access they need and can work within the correct workflow. This helps reduce access-related issues, improve consistency across roles, and speed up onboarding and day-to-day administration.
