Prev Next

Overview

The QuickBooks integration connects Mercury Network® with QuickBooks through the QuickBooks Web Connector. The integration synchronizes financial data to help streamline accounting, transaction tracking, accounts receivable, accounts payable, expenses, and payment management.

What you need before setting up QuickBooks

Before you begin using QuickBooks with Mercury Network®, you'll need to a few things:

  • Make sure you have a compatible version of QuickBooks installed.

  • Download and install the QuickBooks Web Connector.

  • Make sure you know the names of your Accounts Receivable (AR), Accounts Payable (AP), and Expense Accounts. If you haven't created these in QuickBooks, you'll need to do so before setting up the integration.

How to connect QuickBooks to Mercury Network

When you're ready, here's how to set up the integration:

  1. Open QuickBooks.  QuickBooks needs to be running while you complete the setup process.

  2. Log into Mercury Network® and click Preferences, Connection Settings.

  3. Check the box to Enable QuickBooks Web Connector Integration.

  4. In the fields provided, type the names of your AR, AP, and Expense accounts, then click Save in the upper-left.

  5. After you click Save, click Download .QWC File.

  6. When prompted, go ahead and Run or Open that file.  Depending on your browser, you may need to confirm additional security prompts. You'll also see a dialog to Authorize a New Web Service. You'll need to click OK for the integration to work.

  7. After a short installation, the Web Connector will appear.  Here, you'll need to enter your Mercury Network® administrator's password in the Password field.

How to sync QuickBooks data automatically or on demand

There are also a couple of other options in the QuickBooks Web Connector:

  • Sync on demand: Select the checkbox in the far-left column, and then select Update Selected to synchronize data between QuickBooks and Mercury Network®.

  • Sync automatically: Select Auto-Run, and then enter the sync interval in the Every _ Min field. QuickBooks synchronizes automatically according to the number of minutes you enter.

  • Change sync settings later: Select the QuickBooks Web Connector icon in the Windows system tray near the clock to reopen the connector and update its settings.

QuickBooks is now connected to Mercury Network® and ready to synchronize financial data through the Web Connector.

Outcome

After setup is complete, the QuickBooks Web Connector can synchronize financial data between QuickBooks and Mercury Network® automatically or on demand. The connection supports more consistent accounting records, transaction tracking, payment management, and account reconciliation.
