Overview
As an Encompass® administrator, you can create transactional templates for SmartFees™ Easy Order/Automated Service Ordering (ASO) through Encompass. Once saved, the order templates are associated with certain business conditions in a loan. When those conditions are met, a SmartFees transaction begins through a single user click, or via an automation engine using the template created.
Note: If you plan to use Automated Service Ordering (ASO) to place SmartFees orders, review the ICE Mortgage Technology: Automated Service Ordering (ASO) Best Practices before beginning configuration. This review is critical to ensure accurate setup and prevent potential issues.
Enable Automated Service Ordering (ASO)
Log in to the Encompass® Web Portal using your administrator credentials.
Select Services from the left-navigation panel, then select Services Management.
Locate the CoreLogic SmartFees tile, click the vertical ellipses (⋮), and select Service Setup from the menu.
Go to the Easy Order section and click Add.
Enter a Service Setup Name. This can be any display name you prefer for the service (for example, SmartFees Easy Order).
Verify the Readiness Conditions using either the Condition Editor or the Query Builder.
Click Add in the Easy Order Options section. The Manage Template screen will appear.
Complete the required fields on the Manage Template screen for SmartFees:
Name: Enter the order option name (for example, SmartFees Easy Order).
Override Loan Purpose: From the dropdown menu, select Yes or No. If set to Yes (default), a new SmartFees file will be created when the loan purpose (Purchase/Refinance) is updated in an Encompass loan file. If set to No, the system will return an error message.
Auto-renew: From the dropdown menu, select Yes or No. When a loan created in Encompass is updated and the corresponding SmartFees file has expired, a new SmartFees file will be created if Auto-renew is set to Yes (default). If set to No, the system will return an error message and will not create a new file.
Refresh fee lines: From the dropdown menu, select Yes or No. When the Refresh Fee Lines option is set to Yes the system will automatically apply fee updates in Encompass 2015 Itemization. If SmartFees is repulled and no new data is sent for the same fee line, the system will automatically accept all fee changes and clean up any orphaned fees in the 2015 Itemization form.
Click Save.
From the Easy Order Options section on the Add Easy Order Setup page, select the radio button for the option you just created.
In the Authorized Users section, select the Organizations, Users, or Personas that should have access to Automated Ordering for SmartFees, then move them to the Selected Entities column by clicking the arrow icon.
In the Selected Entities column, click each entity to select individually, or use the checkbox to select all entities.
In the upper-right corner of the screen, click the Active toggle switch to turn it ON.
Click Save.
You will now see the active Easy Order/Automated Ordering service listed under Service Setups for SmartFees.
Credential setup for Automated Service Ordering (ASO)
Log in to the Encompass® Web Portal using your administrator credentials.
Select Services from the left-navigation panel, then select Services Management.
Locate the CoreLogic SmartFees tile, click the vertical ellipses (⋮), and select Credentials from the menu.
The CoreLogic SmartFees: Credentials page appears. Configure both Company Credentials and User Credentials using the credential information provided by Cotality™ Client Delivery.
Click Add next to Automation Credentials.
Enter a name in the Name field. This can be any display name you choose for the automation credentials.
In the Company Credentials section, enter the Service Level Username and Service Level Password. These credentials were sent in two separate emails from support@closing.com. The username ends with ”epc_user”.
In the User Credentials section, enter the Username and Password. These are the credentials sent by the CotalityTM Client Delivery Manager. The username ends with “epc_api_user”.
Click Save.
