Overview
Automated Service Ordering (ASO) in Encompass® allows lenders to automatically submit Cotality™ Credco® requests based on predefined conditions. To set up ASO, create an automated ordering template for the desired product, then configure a workflow rule that triggers and populates the order request when those conditions are met.
Set up Automated Servicing Ordering (ASO)
Create a New Automated Ordering Template
Sign in to the Encompass® Web Portal using your administrator credentials.
From the Admin page, select Services from the left-navigation panel, then select Automated Ordering Templates.
From the Automated Ordering Templates screen, click Add.
From the Category popup, select Credit from the dropdown menu.
Click Continue.
Enter a Rule Name.
Click Add.
From the Add New Automated Service Order popup, select Cotality Credco from the dropdown
Click Create.
Enter a Service Order Name.
In the Automated Options section, click Add.
Complete the Easy and Automated Ordering Template form. Fields marked with a red asterisk (*) are required:
Template Name*: Enter a name that reflects the product type, order type, and template.
Description: Enter a brief description of the template's purpose.
Product*: Select the credit product required for the workflow.
Report Language: Select the language displayed on the credit report.
Credit Bureaus: Use the radio buttons to select the bureaus included in the credit product.
Workflow Options: Use these options to control how Encompass will process the credit report data after delivery.
Click Save Template.
Set the Active service toggle to ON.
In the Automated Options section, confirm the template is selected.
Click Continue.
From the Add Credit Rule screen, click Save.
Create a Workflow Rule
From the Admin page, select Workflow Management from the left-navigation panel, then select Workflow Rules.
Click New Rule.
Enter a unique rule name in the Name field.
Optionally, select a rule effective condition from the When is this rule effective dropdown.
Select a Triggering Event from the dropdown to determine when the rule is triggered.
Click the Conditions tab.
Click the Result tab.
Select Order Service from the Resulting action dropdown.
Click Add.
In the Select Service Rule section, select the service rule you configured earlier using the corresponding radio button.
Click Save.
Toggle the new Workflow Rule to Active (ON) to begin automatically creating Credco orders through ASO.
ASO workflow engine best practices
Configure order triggers around key loan milestones and required loan field conditions to help ensure borrower information is complete before credit is ordered.
Align ASO rules with your organization's business channels and workflows, such as Retail, Consumer Direct, HELOC, or Correspondent lending.
Test all ASO rules in a non-production environment, such as a UAT-CR instance, before deploying them to production.
Closely monitor initial production activity to confirm orders are triggering as expected and to identify any duplicate or unintended orders.
Document the purpose, trigger criteria, and expected outcome of each ASO rule to simplify troubleshooting, audits, and future maintenance.
Review and validate ASO configurations regularly to retire outdated rules and ensure they remain aligned with current business processes and operational requirements.
