Provisioning & Roles

The DigitalTax Portal user accounts and system permissions are facilitated and managed by your assigned Client Account Manager (CAM). This resource outlines the onboarding requirements, system password security rules, and available user roles.

Access Request Requirements

To establish a new user account, an authorized requestor must complete the standard DigitalTax Portal Onboard Users Template and email it to your assigned CAM. The template requires the following information:

  • User full name.

  • User email address.

  • Associated customer numbers.

  • Requested roles.

  • Client unique employee ID (required only for Single Sign-On (SSO) clients).

Once the provisioning ticket is processed, new users receive a welcome email with a portal sign-in link and an activation email to establish their password.

Note:  Single Sign-On (SSO) users only receive the initial welcome email. They do not receive a password activation link and must sign in using their organization SSO portal link.

Password Security Requirements

To maintain system security, all accounts must adhere to the following credential rules:

  • Activation window: Password activation links expire exactly 72 hours after delivery.

  • Length: Passwords must contain at least eight characters.

  • Complexity: Passwords must include at least one uppercase letter, one lowercase letter, one number, and one special character (such as ~, @, !, *).

  • History: Newly updated passwords must differ from your previous nine passwords.

  • Expiration: Passwords must be updated every 90 calendar days.

  • Lockout: Accounts are disabled automatically after six consecutive invalid sign-in attempts.

User Access Audits

To ensure account integrity, user access is audited at regular intervals:

  • Bi-annual audits: Cotality conducts formal audits two times per calendar year. The assigned CAM provides audit details to your organization to verify active users.

  • Ad hoc audits: Your organization can request monthly user audit reports from the assigned CAM.

  • Terminations: For employees changing roles or leaving your organization, submit a provisioning ticket to your CAM immediately to request expedited ID inactivation.

Roles & System Permissions

When a user attempts an action restricted by their role, buttons appear inactive, and a Permission not Granted message displays. Contact your CAM to request adjustments to any of the following roles:
