Navigating the Reviewer Rule Profiles Page in Appraisal Scope®

Overview

This article describes how AMC staff use Reviewer Rule Profiles in Appraisal Scope to automatically route appraisal reviews to the right reviewers based on configurable parameters such as client, location, process status, job type, and paid status. It also outlines where to find the Reviewer Rule Profiles page and how to create, edit, and manage profiles so review work is assigned consistently.

Reviewer Rule Profiles page

The Reviewer Rule Profiles page offers AMCs rule profile functionality to manage the review process for client orders. Reviewer Rule Profiles perform a different function in the platform to the one that Admin Rule Profiles perform, but the same principles that govern Admin Rule Profiles also govern Reviewer Rule Profiles.

An AMC staff user will set parameters for Reviewer Rule Profiles that orders will be compared against, and after the rule profiles have been created and configured, they can be assigned to AMC staff reviewers. Reviewer Rule Profiles differ from Admin Rule Profiles in that they automatically assign orders to staff reviewers by default through a round robin process. There is no Monitor Only configurability available for Reviewer Rule Profiles.

Reviewer Rule Profiles can be configured in the Reviewer Rule Profile configuration table, accessible by clicking Reviewer Rule Profiles in the Staff tab menu. Users will also be able to view already-configured Reviewer Rule Profiles in these configuration tables. To view the configuration table for a specific Reviewer Rule Profile, a user will select the rule profile from the Profile Name list at the top of the Reviewer Rule Profiles page.

As was the case for Admin Rule Profiles, parameters can be set for any Reviewer Rule Profile by Client, Location, Process Status, Jobtype, and/or Paid Status. AMCs can choose to set parameters in some or all of these categories, and the Reviewer Rule Profile will filter orders based on only those parameters that have been set. For conceptual information about parameters, see the Parameters explained section. The procedures for applying and managing Reviewer Rule Profiles follow below.

Note: The Reviewer Rule Profiles configuration table is functionally the same as the Admin Rule Profiles configuration table. Users may notice that the configurability for providing permissions and for Round Robin assignment are both absent here. Configurability of all parameters, however, will be the same for Reviewer Rule Profiles as it was for Admin Rule Profiles.

Reviewer Rule Profiles configuration procedures

Adding and configuring a new Reviewer Rule Profile

  1. To add a new Reviewer Rule Profile to your platform-version from the Staff tab, click Reviewer Rule Profiles in the Staff tab submenu.

  2. Click Add New Profile, enter a name for the new profile into the New Profile Name text box, and click Save.

  3. Next, click the Profile Name box and choose the new profile that you just saved.

  4. The Reviewer Rule Profile can be configured by Client, Location, Process Status, Jobtype, and Paid Status, each rule parameter occupying its own column of the Reviewer Rule Profile configuration table.

All new Reviewer Rule Profiles created this way will be available to assign moving forward in an AMC’s platform-version. Once a rule profile is saved to a platform-version, edits and modifications can be made to the profile when it’s chosen from the Profile Name list on the Reviewer Rule Profiles page. An existing profile can also be deleted after it’s been chosen from the Profile Name list by clicking Delete Profile, and the name of an existing profile can be changed by clicking Edit Profile Name, typing the new name in the Edit Profile Name text field, and clicking Save.

Configuring new Reviewer Rule Profile: Procedure Unit 1—Client parameters

  1. To set Client parameters for a new Reviewer Rule Profile, click Add Company in the Client field of the Reviewer Rule Profile configuration table.

  2. When the Select Company dialog box opens, select the check boxes associated with the companies you want the rule profile to apply to. Click Submit when finished.

  3. Proceed to the following Client parameter configuration procedures to set further Client parameters.

Configuring Client parameters—applying Client Branch parameters

Tip: The Client Branch parameter should be used in instances when an AMC wants Reviewer Rule Profile assignees to be limited to handling appraisal reviews for orders initiated by a particular branch of a client company.

  1. To configure Branch settings for a Client parameter, click [B].

  2. The Select Branch dialog box will open with a full list of branches associated with a client company.

  3. Clear the check boxes associated with any of the branches that you want to exclude from this parameter.

  4. Clicking the Check All and UnCheck All buttons will select or clear all Branch check boxes in the dialog box.

  5. If you want all new branches created for a client company to automatically apply to the Reviewer Rule Profile, leave the auto add new branches check box selected.

  6. Click Submit when finished.

Configuring Client parameters—applying Client Broker parameters

Tip: The Client Broker parameter may be used in instances when an AMC wants to single out specific entities that have a broker relationship with the client to trigger the rule profile, instances when the Client parameter will reflect a client company acting as Client on Report.

  1. To configure the Client parameter for a specific broker relationship that a client company has, click [BK] next to the Client parameter.

  2. The Select Broker dialog box will open with a full list of lenders that have a brokering relationship with this client company.

  3. Select the check boxes associated with the brokers you’d like to include as parameters in the Rule Profile, and leave the check boxes for any other brokers empty.

  4. Clicking the Check All and UnCheck All buttons will select or clear all Broker check boxes in the dialog box.

  5. The auto add new brokers check box should remain selected if a new broker should automatically be applied to the Reviewer Rule Profile when added in a client company profile.

  6. Click Submit when finished.

Configuring new Reviewer Rule Profile: Procedure Unit 2—Location parameters

  1. To set Location parameters for a new Reviewer Rule Profile, click Add State in the Location field of the Reviewer Rule Profile configuration table.

  2. When the Select State dialog box opens, select the check boxes associated with the states that you want to serve as locational rule parameters. These states will appear in the Location column.

  3. To further refine the locational parameter to specific counties, click [C], leave the check boxes associated with the counties you want included in the rule filled, and clear the check boxes associated with the counties you want to exclude from the rule.

  4. Click Submit when finished.

Configuring new Reviewer Rule Profile: Procedure Unit 3—Process Status parameters

Tip: When set, Process Status parameters will dictate that an appraisal form be available for review only when the form moves into or through the statuses that are selected. Once the review reflects a status that is not part of the configuration, assignees of the Rule Profile will no longer see the appraisal for review.

  1. To set Process Status parameters for a new Reviewer Rule Profile, click Add Status in the Process Status field of the Reviewer Rule Profile configuration table.

  2. When the Select Status dialog box opens, select the check boxes associated with the process statuses that you want to serve as rule parameters.

  3. Click Submit when finished.

  4. If there are any revision types that you do not want to apply to your Process Status parameters, click [rev type] next to a parameter.

  5. In the Select Revision Type dialog box, clear the check boxes associated with any revision type that you do not want to apply to your parameter, then click Submit.

Tip: imiting the revision types in this way allows you to make the review available only to the reviewers you want handling a particular revision type.

Configuring new Reviewer Rule Profile: Procedure Unit 4—Jobtype parameters

  1. To set Jobtype parameters for a new Reviewer Rule Profile, click Add Jobtype in the Jobtype field of the Reviewer Rule Profile configuration table.

  2. When the Select Jobtype dialog box opens, select the check boxes associated with the jobtypes that you want to serve as rule parameters.

  3. Click Submit when finished.

  4. The selected statuses will appear in the Jobtype column.

Configuring new Reviewer Rule Profile: Procedure Unit 5—Paid Status parameters

  1. To set Paid Status parameters for a new Reviewer Rule Profile, click Add Paid Status in the Paid Status field of the Reviewer Rule Profile configuration table.

  2. When the Select Paid Status dialog box opens, select the check boxes associated with the paid statuses that you want to serve as rule parameters.

  3. Click Submit when finished.

  4. The selected statuses will appear in the Paid Status column.

Failure Orders pages

The Failure Orders pages are tied to the integrations that an AMC has enabled on their Appraisal Scope platform-version. A Failure Orders page will be available on an AMC’s Staff tab menu for each integration that is set up (see Figure 2.8). A staff user can click the relevant Failure Orders button from the Staff tab menu to view a table with details as to which orders created through a specific integration have failed and why. For additional information regarding failure orders, contact Appraisal Scope support.

Approving a new client company

Required permissions

An AMC staff user will need access to the Pending Users page, accessible from the Main Page by clicking the Users tab, in order to approve a new client company.

Introduction

When a new client signs up with a platform-version using the Client Sign Up tab, staff users designated to accept new clients will receive an auto-generated notification email. A staff user should take special note of the Client Company line in the email they receive, because they will locate the profile to be approved by this company name.  The client company, along with the new client user who signed the company up, will be in Pending status until approved by a staff user, following the procedures below.

Procedures

  1. To access the Users tab submenu, click the Users tab from the main tab menu.

  2. Next, click the Pending Users tab from the Users tab submenu to access a list of clients on the right side of the page, under the Pending Clients header. At this point, find the entry that matches the client company name by looking through the Pending Clients list, or by typing the name into the Company Name text box in the Search fields on the left side of the page.

  3. When the entry associated with this client company name has been located, click Approve from under the Action column at the right of the Pending Clients list. This will open the Client Validation dialog box.

  4. Information for the pending client company will be in the Client Information section at the top of the dialog box, and the details about the pending client user affiliated with the company will be in the User Information section at the bottom of the dialog box.

Note: You can verify that this is a new client company request that you’re approving by checking the Company Details list on the left side of the Client Validation dialog box. If the message No Result(s) Found appears in the list, then this is a new client company request that you’re approving. Otherwise, see the Approving a new client user procedures following this procedure set for appropriate instructions.

  5. If you’re ready to add profiles for this client company and affiliated client user to your platform-version, enter a password of minimum eight characters and containing at least one upper case letter, one lower case letter, and one number or symbol into the Password text box, and then select the Set as temporary check box if you’d like to give the client user the option to change their password.

  6. Lastly, click Register and then Continue in the Confirm dialog box to add the client company and affiliated client user to your platform-version. Appraisal Scope will generate an email supplying the password and notifying the new client user that their profile and the new client company profile have been added to the platform-version.

Outcome

After reading, staff will be able to create and maintain Reviewer Rule Profiles and apply the correct parameter combinations to filter eligible orders. Staff will understand how profiles drive automatic round-robin reviewer assignment and how process status and other criteria affect which orders appear for review. Staff will also be able to update or remove profiles as business rules change.
