What is Commercial Tax Portal?
Commercial Tax Portal is a comprehensive platform that encompasses all commercial tax management action items, portfolio details, payment information and refund status in a single view.
Once complete, it will replace the current version of taxQ ®.
The Commercial Tax Portal is available via users’ browsers (Chrome, Microsoft Edge, Firefox, Safari, etc.). It does not currently require any software download.
Will Commercial Tax Portal change the way I manage my taxes?
Data will be pulled from the same locations, and processes will be managed very similarly to the way they are now. Commercial Tax Portal simply provides a more modern and user-friendly experience. There may be minor updates to the way actions can be taken, but the core processes will not change.
There will also be new features available that will put more power in clients' hands. These new features include access to Refund Status Updates, User Management and Detailed Portfolio Reports. These updates and enhancements are designed to make the commercial tax management process as seamless and user-friendly as possible.
How will Commercial Tax Portal benefit my day-to-day responsibilities?
The introduction of a dashboard that focuses on refund status updates and action items will decrease the time spent waiting for responses and streamline access to pertinent tax information.
Calls to action on the dashboard will help quickly convey when upcoming taxes need to be decisioned or completed.
User management will make it easier to add, modify and remove access for members of your team. With this tool, you can make the necessary changes to user roles in real time and will no longer have to rely on dialog notes or communications with a Cotality representative.
Will users need to reupload any documents currently saved in taxQ?
No. The information and records currently stored in taxQ will migrate to the Commercial Tax Portal
What tools are available to help me better understand Commercial Tax Portal?
Support that will be available during the Commercial Tax Portal launch includes user guides, user instructions, demonstration videos, SME office hours and webinars.
Agency
How do I search for an agency relevant to my portfolio?
Using the Agency module, you can add any search criteria to the filters. These criteria will automatically filter out any agencies that do not match the populated information. Additionally, you can access agencies directly by clicking on their link within related records.
Client IDs and Access
I have access to multiple client IDs. How do I know which client ID information I'm viewing?
You can click on “See All” to view information for all of the client IDs to which you may have access. If you select a specific client ID (or if you only have access to one client ID), you will only be presented with information related to that specific client ID. If you click on “See All,” then you can use the “Client” field in many of the modules to indicate the client ID of the associated record.
If I click on "See All" how can I tell to which client ID a record belongs?
When viewing all data, you can use the “Client” columns available in many modules to identify the client ID associated with each record.
Loan Management
How do I add loans to my portfolio?
You can add loans to your portfolio on the “Add Loans” screen, which is available in the Loans module. Clicking on “Add Loans” will direct you to the necessary screen, on which you can manually enter loan information or add it in bulk using the tools provided in the module.
How do I know if a loan or parcel is active?
Active loans or parcels will appear immediately in your search results. If a record is no longer active, it will have an “Archived” label next to it. You will see this label throughout each module for records containing archived items.
Tax Reports
How do I make payment decisions for tax reports?
To make decisions for tax reports, you have the following two options:
If you currently use the ATRF module, you can continue to do so by clicking on the “ATRF” link on the dashboard or within the Tax Report module.
If you’d prefer to make payment decisions directly in the Commercial Tax Portal, you can do so by selecting a specific tax report and then making the payment decisions for single parcels, loans, or the entire tax report.
Payments and Refunds
How do I know if Cotality has received my payment?
You will know if Cotality has received your payment on the Funds Transfer screen because it will display all wire batches associated with a client. There are three statuses within this screen: “Unsent”, “Sent” and “Verified.” Once a batch is received and Cotality has confirmed the associated funds are received, the batch will be marked “Verified.”
What are the different types of refunds?
The two main types of refunds are Agency Refunds and Payment Refunds.
Agency Refunds occur when an agency returns a check to Cotality (e.g., for an overpayment). They start in the “Check Received” status.
Payment Refunds occur when Cotality flags all, or part of, a payment to be returned to the client before the payment is officially completed. They start in the “Research in Progress” status.
I saw a refund in "Check Received" status, but it disappeared. Where did it go?
This is an Agency Refund that Cotality has not yet assigned to a specific client. We must perform research to identify the correct client. Once the client is identified and the record is assigned, it is no longer visible to other clients, ensuring the safety of everyone's data.
What's the difference between exporting a list of refunds and downloading a refund log?
Exporting a list of refunds downloads a table with the same information as the refunds search table. Downloading a refund log generates a document with more detailed information, including associated parcels, refund reasons, and specific amounts.
Prioritizing Tasks
How do I prioritize decisions or action items?
Check the dashboard tiles associated with modules that require your action. Tiles with approaching deadlines will be highlighted in red. Clicking on these tiles will take you to the module, where the most time-sensitive records will also be highlighted in red and will often be sorted by the due date or expiration date.
