Where do I find Loan Insights?

Loan Insights sits on the DigitalTax Portal Dashboard. All Loan Insights opens your full loan portfolio with customizable filters, columns, and saved views. The same group also holds Contracted Suspended Items, Legal Situs Discrepancy, and Search by Situs, each visualized by next due date.

How do I access Tax Amount Reporting?

There are two routes. For portfolio-level reporting, use the Tax Amount Reporting dashboard under Tax Payment on the Dashboard; it shows return dates, exemptions, and delinquent and paid statuses, defaulting to the last 30 days with an option to expand to one year. For a single loan, open the loan's Reporting History tab and select the Tax Amount Reporting (TAR) sub-tab.

Where are my ATSU orders?

Under the ATSU group on the Dashboard. All ATSU opens every open Accelerated Tax Line Setup order, and ATSU Suspended Items shows orders held up by missing or incomplete legal documentation, visualized by next due date. Suspended ATSU items also surface in the Dashboard's Action Queue.

Where can I view redemption activity?

The Redemptions dashboard under Tax Payment lists delinquent property taxes eligible for redemption, including the statements showing what is required to satisfy outstanding tax obligations. To order a new statement, open a loan, click More Actions, and select Order Redemption Statement.

How do I access Flashlines?

Two places. The Flashlines dashboard under Tax Payment carries timely updates on tax events, billing changes, reporting discrepancies, and processing issues, along with potential impacts and recommended actions. Flashlines are also published in the Knowledge Center under Cycle Information.

How do I get back to the homepage?

Select the DigitalTax Portal logo or the Dashboard entry in the left-hand navigation menu. The Dashboard is the portal home and returns you to your Inventory Snapshot, Action Queue, and Case Monitors.

Where can I find documents in the Knowledge Center?

The Knowledge Center is organized into five areas:

  • Cycle information: Weekly tax bulletins, national due date changes, government fee listings, Flashlines

  • Escrow Reporting: TAR transmittals, TAR statistics, national reporting schedules, monthly TAR calendars

  • Non-Escrow Reporting: Reporting schedules, transmittals, cycle data for non-escrow portfolios

  • Documentation: Reference documents, user provisioning templates, password reset guides, system documentation

  • Tutorials: Guided walkthroughs for key portal features

Search and finding information

How do I search for a specific loan or property?

  1. Select Loans from the left-hand navigation menu.

  2. Choose a search method: Search by Criteria (select the State, then add filters such as status, investor, or agency) or Search by Loan (enter the loan number or contract number).

  3. Click Search Loan.

  4. Click the hyperlinked loan number in the results table to open the record.

If your criteria return an exact match, the portal skips the results table and opens the Loan Details page directly. Global Search in the top header also accepts a loan number, contract number, or agency name from anywhere in the portal.

How do I cancel or remove a loan from tracking?

For a single loan, open its details page, click the Cancel Loan icon, and click Yes to confirm; the status changes to inactive. For several loans, go to the Loans dashboard, click Cancel Loans, enter the loan numbers, click Add, then Submit, then Confirm. Cancellation halts future tax reporting schedules and updates your inventory counts immediately. Both actions require the DTP_ORDER_MODIFICATION role or higher.

How do I edit loan details such as loan number, borrower name, or property address?

Open the loan and click the Edit icon, then choose the applicable action:

Action

What you can change

Edit loan

Loan number, loan amount, service type (escrow or non-escrow), comments

Edit address

Borrower's full name, street number, street name, city, state, ZIP

Edit mailing address

Contact 1 and 2, address, extended address, city, state, ZIP

Edit lien

Agency name/number, tax ID, status, lien type, pending apportionment, comments

Add lien

Agency name/number, tax ID, lien type, pending apportionment

Click Save (or Add lien) when finished. Every change writes a timestamped entry to the loan's History tab.

Note that the loan number itself cannot be edited to create a new loan. To issue a new loan number while keeping prior history, use More Actions → Add Refinance instead.

How do I find a loan by loan number?

Enter it in Global Search in the top header, or use Loans → Search by Loan. You can also click a loan number wherever it appears hyperlinked on another dashboard.

How do I search for a parcel or tax ID?

Tax IDs are held at the lien level rather than as a top-level search field. Open the loan and go to Reporting History → Lien Details, which lists active and inactive parcels with tax ID, agency, apportionment status, and the date the tax ID was added. To investigate a tax ID appearing more than once, use the Duplicate Tax ID dashboard. You can also use the Property Admin System (PAS), which allows you to search for any property and view the tax ID, Homeowner info. Legal description and collecting tax agencies.

How do I find an agency by agency number?

Go to the Agencies page and search by Agency Number. You can also search by State, Name, Customer Payee, Agency Type, or upcoming Estimated Last Day (ELD) ranges. Click the agency name to see mailing addresses, phone numbers, tax collector names, office hours, FIPS codes, and links to the official county or city tax portal.

How do I locate an order by contract number?

Enter the contract number in Global Search, or use Loans → Search by Loan, which accepts either a loan number or a contract number.

Where do I find redemption statements?

Completed statements appear on the Redemptions dashboard and on the originating loan. To order one: open the loan, click More Actions, select Order Redemption Statement, enter a file name, click Save, then Yes. When the document is ready, click Redemption Statement to open it, then the download link to retrieve the PDF. If Permission not Granted displays, ask your CAM to add the DTP_ORDER_REDEMPTION role.

Dashboard assistance

What does this dashboard show?

Each dashboard narrows your portfolio to one operational question. The Dashboard home combines an Inventory Snapshot (total properties across active, suspended, and inactive loans, split by escrow and non-escrow), an Action Queue of time-sensitive categories, and Case Monitors for active research queues. Individual dashboards are grouped into ATSU, Loan Insights, Lien Insights, Tax Payment, Research, and Call Center.

What are the key metrics on this page?

On the Dashboard home, the metrics worth watching first are:

  • Action Queue — ATSU/Suspended, Contracted/Suspended, and Duplicate Tax IDs

  • Case Monitors — Pending Apportionment, Search by Situs, and Legal Situs Discrepancy

  • Inventory Snapshot — property counts by loan status and escrow type

Most individual dashboards are visualized by next due date, so the near-term buckets are the ones that need action. ELD Projection is the exception worth checking regularly: it flags agencies with Economic Loss Dates 30, 60, and 90 days out along with the percentage of tax lines reported to date.

Which dashboard is best for managing redemptions?

Redemptions, under Tax Payment. It lists delinquent taxes eligible for redemption and gives access to the statements showing the amounts required to satisfy outstanding obligations. Pair it with DELFUS Letters to see which delinquent liens have already had a letter sent to the homeowner — select a tax ID there to review its complete DELFUS history.

How do I save a view?

  1. Open the dashboard you want.

  2. Apply your preferred filters and select your columns.

  3. Click Save View.

  4. Enter a Name and an optional Description.

  5. Click Save. The view appears under the Personal tab.

Saved views are not available on these dashboards: Claims, Residential Tax Requests, YoY Tax Amount Changes, Flashlines, ELD Projection, TPS End of Cycle, and Portfolio Overview.

How do I share a dashboard with my team?

Share a saved view rather than the dashboard itself. Click the vertical ellipsis next to your saved view and enable sharing; the view then becomes accessible to everyone in your organization. The same menu lets you edit or delete the view.

How do I filter by state or investor?

Use the filter controls at the top of any dashboard that supports saved views, or use Loans → Search by Criteria, where State is the first selection and investor, status, and agency narrow it further. On the Agencies page, State is likewise a primary filter. Once your filters are set, save them as a view so you do not have to reapply them next session.

How do I sort records?

Click a column header in the results table to sort by that column. Sorting preferences are stored with a saved view alongside your filters and column arrangement.

How do I export data?

Every table has an Export data button, so any dashboard presented as a table can be exported directly. Maps offer a menu option to download the image. Separately, tax statements and redemption statements are generated as PDFs you retrieve from the loan itself.

Application support

How do I log in to DigitalTax Portal?

How do I log in to DigitalTax Portal?

New users receive two emails once their provisioning ticket is processed: a welcome email with the portal sign-in link, and an activation email for setting a password. Activation links expire 72 hours after delivery. Single Sign-On users receive only the welcome email and sign in through their organization's SSO portal link instead.

How do I reset my password or recover my account?

  1. Click Forgot password? on the sign-in screen.

  2. Enter your email address and click Send reset link.

  3. Open the reset email and click Reset Your Password.

  4. Enter your new password twice, then click Update Password.

  5. Return to the sign-in screen and sign in with the new credentials.

Passwords must be at least eight characters and include an uppercase letter, a lowercase letter, a number, and a special character. They must differ from your previous nine passwords, must be changed every 90 days, and six consecutive failed sign-in attempts disable the account. If your account is locked, contact your CAM.

How do I request access for a new user?

Submit the request to your Client Account Manager. An authorized requestor completes the DigitalTax Portal Onboard Users Template (available in the Knowledge Center under Documentation) and emails it to the CAM. The template asks for the user's full name, email address, associated customer numbers, requested roles, and — for SSO clients only — the client's unique employee ID.

How do I remove a user who no longer needs access?

Submit the request to your Client Account Manager. For employees leaving or changing roles, send a provisioning ticket to your CAM immediately to request expedited ID inactivation. Cotality also audits user access twice per calendar year, and your organization can request monthly audit reports from the CAM at any time.

Why don't I have access to this feature?

Portal permissions are role-based. When your role does not permit an action, buttons appear inactive and a Permission not Granted message displays. This is expected behavior rather than an error; the fix is a role change requested through your CAM.

How do I request additional permissions?

Submit the request to your Client Account Manager, naming the role you need:
