How to Configure the Members & Permissions Settings on Collateral Investigate™

Learn how to configure roles, permissions, and teams in Collateral Investigate™ to secure your platform and streamline your team's daily operations. This guide walks you through controlling platform access, customizing permissions, and establishing clear supervisor escalation paths. By setting up these structures, you will automate file assignment logic, and keep your team members focused on the files relevant to their tasks—making their workflows more efficient.


How to Add a Role

   

   

  1. Click the Settings icon in the top right corner of the toolbar.

  2. Select Members and permissions from the menu.

  3. Select Manage Roles to create a new role before adding members.

  4. Click Add a Role.

  5. Enter a Role name for a group of users who require identical permissions.

  6. In the General permissions section, use the dropdown menus to assign access levels (e.g., No Access, View Access, Edit Access, or Administrative Access) for general and order-specific permissions.

    1. Auto-assignment management: The ability to manage Tiers and Assignment Logic.

    2. Findings management: The ability to manage review scope and findings.

    3. Members and permissions: Creating, editing, and removing users and permissions.

    4. Organization settings: Managing settings that apply across the entire client.

    5. Reporting: Contains robust reporting and metrics for review scope/findings, members, and service providers.

  7. In the Order Permissions section, set the default permissions for orders.

    1. Orders access: The ability to see and or edit files in the orders tab.

      1. Access options are No Access (used if they should only be able to see their own files), and View Access.

      2. For Which Orders options are Their Team’s Orders or Everyone’s Orders. (Only enabled if View Access was selected.)

    2. Manual Assignment: The ability to assign themselves or others’ files.

    3. Edit associated files: Add, edit, and delete files for associated with orders.

    4. Edit contacts: Add, edit, and delete contacts associated with orders.

    5. Mark as rush: Flag an order with the rush status.

    6. Review artifact settings: Manage what is included in the PDF artifact documenting the review process.

  8. Click Continue.    

  9. Select the Members tab to add existing members to the role.

    1. Search for a member already added to Investigate.

    2. Scroll through the list to view and select members for the role.

    3. To remove a member, click the X next to their name.

      Note: Each client organization includes at least one pre-loaded Admin. You can create roles without assigning members, allowing you to configure roles and permissions before adding additional users to your Investigate account.

  10. Click Add Role.

How to Add & Manage a Member

  1. Click the Settings icon in the top right corner of the toolbar.

  2. Select Members and permissions from the menu.

  3. On the Members and permissions main page, click Add a Member.

  4. Enter the Member information. Fields marked with a red asterisk (*) are required.

    Note: The Role dropdown only displays existing roles. You can edit a member’s role and permissions after they have been created on the main Members and permissions page.

  5. Click Continue to save the member.


Managing a Member

   

  1. Click Edit next to the member's name to update their access and permissions.

  2. In the Details and Admin section, update the Member’s details as needed.

  3. In the Teams section, manage which groups the administrative permissions apply to. Use this section to organize members and streamline access management.

    1. To locate a specific team, enter the team name in the Search field and select it from the results.

    2. To remove a team, click the X next to the team name.

  4. Click Save Member to apply the changes.


Remove a Member

  1. Click Edit next to the member’s name.

  2. Click Remove Member.

  3. Click Remove Member again to confirm the deletion.

How to Add & Manage a Team

   

Add a Team

  1. Click the Settings icon in the top right corner of the toolbar.

  2. Select Members and permissions from the menu.

  3. On the main Members and permissions page, click Manage Teams.

  4. Click Add a Team.

  5. Enter a team name that clearly identifies the group and click Continue.

    Note: Teams may include multiple roles, and individual members can belong to multiple teams.

    1. Locate existing members within Collateral Investigate™ using the search field.

    2. Select members by clicking the checkbox next to each name. Use the scroll bar to navigate the full list of available users.

    3. Selected members appear above the search box. To remove a selection, click the X next to the member’s name.

      Note: The first person added to the team will be added as the Supervisor by default. Ensure the toggle is enabled for any member responsible for receiving escalations. Each team must have at least one Supervisor selected via toggle  

  6. Click Add Team to save the team and its selected members.


   

Manage a Team

  1. Click Edit next to the Team name.

  2. In the Edit team section, update the Team Name as required.

  3. Click Continue to manage team members.

  4. To remove a member, click Remove from team next to their name.

  5. To reassign or add a supervisor, enable the Supervisor toggle for the desired member.

  6. Click Save team to apply all changes.

How to Remove a Role

 

   

  1. Click the Settings icon in the top right corner of the toolbar.

  2. Select Members and permissions from the menu.

  3. On the Members and permissions main page, click Manage Roles.

  4. In the Roles and permissions section, click Edit next to the role to remove.

    Note: You cannot remove a role that has active members. You must delete all members from the role before it can be removed.

  5. In the Edit Role window, scroll down and click Remove Role.

  6. In the Confirm Remove Role window, click Remove Role.


Outcome

After completing these steps, you will have built a fully structured, secure access hierarchy tailored to your organization. You will now have the skills to create custom roles, form collaborative teams, and assign supervisory defaults.
